Editing Retainers

OVERVIEW


 

When a Retainer is created, Line Item Criteria records are created against the Retainer and used to populate Retainer Line Item records.  As a result, all edits to the Retainer (and its future Retainer Line Items) require the edit of individual Line Item Criteria records.  

EDITING RETAINERS


When making edits to a Retainer, Retainer Line Items should NEVER be edited or deleted.

CREATING NEW LINE ITEM CRITERIA (RECURRING, SKILL BASED RETAINERS ONLY) 

In the event that a retainer should apply time entries against Project Tasks related to a Work Type not set as a Line Item Criteria, a new Line Item Criteria can be created.

To create a new Line Item Criteria:

  1. Open the Retainer, scroll to the related list section, locate the Line Item Criteria related list, and click New Line Item Criteria.
  2. Provide Line Item Criteria Details
    1. Work TypeSelect the Work Type to which the Line Item Criteria will apply.
    2. Agreed HoursAgreed Hours indicates the hours allocated to the selected Work Type for the selected Retainer time period.
    3. Agreed SpendAgreed Spend indicates the amount (in dollars) allocated to the selected Work Type for the selected Retainer time period.
  3. Click Save.

ADMIN NOTE: When creating a new Line Item Criteria record, the new criteria are taken into consideration only when creating future Retainer Line Items.  

EDITING LINE ITEM CRITERIA (RECURRING RETAINERS ONLY)

To edit the Agreed Spend and/or Hours for a Time Period, the Line Item Criteria record must be modified.

  1. Open the Retainer, scroll to the related list section and locate the Line Item Criteria.
  2. Locate the Skill Rate record associated with the Work Type for which an edit is to be made, and click on the Line Item Criteria Name (Ref Number) to open the record.For Skill Based Retainers, Line Item Criteria records should be created for each Work Type associated with the Retainer.  When editing Line Item Criteria for a Skill Based Retainer, make sure to select and edit the record related to the specific Work Type for which changes should be made. For Non Skill Based Retainers, only one Line Item Criteria record should be available for edit.
    1. Click Edit.
    2. Indicate the New Agreed Spend and/or Agreed Hours.
    3. Click Save.

ADMIN NOTE: When editing a Line Item Criteria record, the new criteria are taken into consideration only when creating future Retainer Line Items.  

DELETING NEW LINE ITEM CRITERIA (RECURRING, SKILL BASED RETAINERS ONLY) 

To stop generating new Retainer Line Items for a specific Work Type without deactivating the entire Retainer, the Line Item Criteria record for that Work Type can be deleted.

To delete Line Item Criteria:

  1. Open the Retainer, scroll to the related list section and locate the Line Item Criteria.
  2. Locate the Line Item Criteria to be deleted, and click on the Line Item Criteria Name (Ref Number) to open the record.
  3. Click Delete.
