Data Import / Export

The new Cloud Coach Data Import/Export feature in the Cloud Coach Admin tab allows users to export and import Sandbox data so users can easily move metadata and/or project templates and meeting templates between Salesforce orgs. Cloud Coach allows you to test that data in your Sandbox then Export and Import it into your production suite. 

Export

Export – The Export tab allows users the option to export the following:

  • Metadata: Users can select Process (Board, Milestone, and Stage Gate processes), Financials (Cost and Benefit Areas, KPI Areas),  Resources (Work Types & Expertise), and Project (Project Settings). Once an option has been selected, the “Export Metadata” button will exist, and will download a .JSON file.
  • Project Templates: Users can select any project in the org that has been set as a project template (the “Project Template” checkbox is selected as true). The Templates show as a list, and the column headers are controlled by the Column Headers Field set on the project. Once selected, the “Export Project Templates” button will show, and will download a .JSON file.
  • Meeting Templates: Users can select any meeting that has been set as a Meeting Template in that org. Once selected, the “Export Meeting Templates” button will show, and will download a .JSON file.
  1. Navigate to the Cloud Coach Admin tab. 
  2. Select Data.
  3. Click Export.
  4. Select Checkboxes: Choose between Board Processes, Milestones, Stage Gates, Cost & Benefit Areas, Work Types and more.
  5. Click the Export Metadata button: once you have selected the data that you wish to export, click the Export Metadata and your Cloud Coach vital data will download to your Downloads folder automatically.
       Note: If you wish to export Project Template and Meeting Templates, the same procedure as the previous exercise must be executed.
 
 

import

Import – The Import Tab allows users to import the following:

  • Import Metadata (Optional): If users have a .JSON file with metadata that has been exported from a Salesforce org (refer to Export section above), they can choose to import it into the current org by pressing the “Import Metadata” button and selecting a .JSON file (this file must have been created using the Export functionality within the Data Import/Export tab).
  • Import Project Templates: If users have a .JSON file with Project Template data that has been exported from a Salesforce org (refer to Export section above), they can choose an Owner (this is required and will set all the imported Project Templates to that selected Owner), and a Desired Start Date. Users can then select the Import Project Templates button (NOTE: If users have not imported meta data they will receive a prompt warning them that this will skip setting your templates with load-based allocations, work types, stage gates, milestones, and board processes) and choose their .JSON file to import. 
  • Import Meeting Templates: If users have a .JSON file with Meeting Template data that has been exported from a Salesforce org (refer to Export section above), users can select the Import Meeting Templates and choose their .JSON file to import.
  • Import History: The import history panel on the right will show a history of any recent imports.
  1. Navigate to the Cloud Coach Admin tab.
  2. Select Data.
  3. Click Import. 
  4. Click on the Import Metadata button then navigate through your operating system directories to locate the .JSON file wish to import.
  5. Select Save.
  6. Change Owner and Start Date: Here you can change ownership and the desired starting date for your project templates.
  7. Import History: This panel lets you see the history of imports into your org.
